Voice AI

A voice agent that answers the hotel phone — and knows when to hand over

An AI front desk for a Holiday Inn property: it answers guest calls in natural speech, checks live systems before it speaks, raises real tickets, and transfers to a human the moment it should.

A hotel front desk phone rings all day with questions that have exact answers. What time is check-in. Is the pool open. How far is the outlet mall. Is the restaurant serving now. Can someone bring extra towels to 412. Each one is easy, and each one pulls a person away from the guest standing in front of them.

We built a voice agent for Holiday Inn & Suites Houston West – Katy Mills that takes those calls. A guest rings, speaks normally, and gets an answer — or gets put through to a person, quickly, when that is the right thing to do.

It checks before it speaks

The risk with any AI on a phone line is that it says something confident and wrong. A guest who is told the restaurant is open and arrives to a closed door has had a worse experience than one who was never answered at all.

So the agent separates settled facts from live ones. Check-in time is settled and comes from the hotel's own verified knowledge. Availability, prices, menus and whether something is open right now are live — those only ever reach the guest from a real check against the hotel's systems on that call. If the check fails, the agent says it cannot confirm and offers a transfer rather than filling the gap.

There is a second guard behind that. If the agent tells a guest something is done — 'I've logged that housekeeping request' — and no request was actually created on that turn, the claim is caught and replaced with an honest handover. That check exists because during development the agent did exactly this once. It is now a permanent test that runs on every change.

What it can actually do

  • Answer reception, concierge and property questions from a verified knowledge base built from the hotel's own sources.
  • Handle reservations, guest services, housekeeping and maintenance requests — raising real tickets with service-level targets and escalation when they are breached.
  • Take restaurant and menu enquiries against live opening status.
  • Qualify event and group enquiries, score them, and notify the sales team with the contact already created.
  • Handle billing and loyalty questions at the right level of identity verification.
  • Recognise an emergency and route it immediately.

Thirteen distinct capabilities and nineteen actions sit behind the line, and the guest never has to know any of that. There is no menu tree and no 'press 1'. They just say what they want.

Identity, proportionate to the request

Asking the pool hours needs no identity at all. Changing a reservation or discussing a bill does. The agent steps a caller up through anonymous, identified and verified as the request requires — so guests are not interrogated for simple questions, and sensitive actions are never taken on an unverified voice.

Actions that change something are confirmed out loud before they happen, and the permission to take them is decided by the platform rather than by the conversation. A caller cannot talk the agent into an action it is not allowed to take — including a caller who is deliberately trying. We test that with scripted attack conversations on every build.

Staff see everything the agent did

There is an operations console behind the line. Live call overview, full transcripts with the evidence for each answer attached, open tickets and escalations, a knowledge browser, and a list of the questions guests asked that the agent could not answer — which is the single most useful report in the product, because it tells the hotel exactly what to add next.

Hotel staff can change what the agent tells guests without a release. Close the pool for maintenance and the agent starts saying the pool is closed, on the next call.

Honest about its limits

The agent will not state a driving time to a nearby attraction, because no routing provider is connected to it. That is a deliberate design choice and a good illustration of the whole approach: where the system does not have a verified source, it declines rather than estimates. Sixty automated tests run on every change, several of them dedicated to making sure it keeps declining.

The platform is multi-tenant: a second property onboards as configuration — its own knowledge, inventory, menus and staff roles — rather than as a new build.

Who it helps

Guests get an answer at 2am instead of a ring-out. Front desk staff get their attention back for the people physically in front of them. Management gets a record of every call, every request raised, and every question the property could not answer — which turns the phone line from a cost into a source of operational insight.
